Deciding to host an event is just the first step.  The marketing process then begins.  Before you begin to market the event, however, it is important to define the benefit to the attendees.  In other words, what’s  it for them? While there are thousands of ways to promote your event, please consider the following 5 ways to promote your next event:

Use traditional “snail mail”

Despite the recent technology, it is important to keep traditional ways of communication.  You will get the best results when you use a strategy that combines new and traditional ways.  Keep in mind that clients or in this case attendees, statistically have to see you at least 5 times to remember your company.  Sending out information via multiple channels increases the chances incredibly.   Use services such as vistaprint.com, overnightprints.com to print inexpensive invitation of oversized postcards to announce your event.

Tip:  An oversized postcard (5.5” x 8.5”) is a cost-effective option for your invitations.  Not only do you save on envelope, but if you send out more than 500 pcs. sorted by zip code, you may qualify for a “bulk rate.”

Take advantage of technology

Email is a cost-effective & efficient way to promote your event.  You can create your own invitation and send it to your contacts.  You can also use services such as evite.com & constantcontact.com to create the perfect invitation for your event.

Tip: Add an e-ticket to your email where people fill in their information and bring it to the event for a gift.  In addition, list some of the great prizes they can win if they show up.

Get listed on local newsletters or publications

If you do enough research through your contacts, you will find that there are a lot of local newsletters (print and online) where your event can get listed.  In addition, there are a lot of publications that can list your event at no cost to you. It is important to do your homework and diligent work with this.  You will need a news release for some of the publications, but the effort might really help your attendance.

Tip:  Create a list of local newsletters/ publications as “helpful resources,” and stay in touch with them.  It will be easier to get listed if you have a rapport with them.  If you come across an opportunity to return the favor by sending some business, do so promptly.

Maximize your event exposure with online social networks

As we embrace technology, there new ways to promote your events increase too! Consider social networks to promote your event: linkedin.com, myspace.com.  Because people are so busy nowadays, they have creatively found new ways to stay in touch with their colleagues and clients.  Post your event on the social network!

Tip:  Provide your online contacts with a “sneak preview” so that they feel a sense of exclusivity.  Work your contacts!  Visit your social networks periodically and keep them informed about your event timeline.

Strategic Partnerships

This is a great way to extend your possibilities!  Consider creating a list of strategic partners that will not necessarily attend your event, but will assist you in promoting it.  For example, ABC Association cannot share emails with you, but is able to send out a blast to their contacts at no charge to you.  Take it!

Tip:  It is very important to create “an emotional connection” with your strategic partners.  Think of them when they celebrate a special occasion or go through a difficult situation.  Be thoughtful so that when you need the extra push for your event attendance, they would be willing to help you unconditionally.

As you can see, there are no shortcuts to event marketing.  Good marketing takes diligent and persistent work; the results will speak for themselves!  These are just some of the ways to promote your event, but always keep in mind that when it comes to marketing, thinking creatively pays off!
